POLICY: Cellular Devices
Purpose:
This company cell phone policy, sets Goodwill Industries of Central Oklahoma’s (herein after referred to as GICO) polices pertaining to cell phones. This policy will provide clarification for the issuance and use of cell phones and establish protocols for reimbursement and issued equipment. GICO reserves the right to modify or update this policy at any time.
Applicability:
This policy applies to all GICO employees both full-time or part-time. Additionally, this policy applies to all independent contractors, interns, and consultants.
Cellular Devices:
Cellular devices are defined as any device with the ability to receive and/or transmit voice, text, or data through cellular connectivity. Including but not limited to cell phones, or cellular hotspots.
General Use:
Users are expected to exercise discretion while using cellular devices. Excessive personal calls during the workday interferes with productivity and is distracting to other users. Users should restrict personal calls during work time, and should use cell phones for personal reasons during scheduled breaks or lunch periods in non-working areas. Users should silence phones during work hours, and utilize the vibrate function.
Camera:
Use of a cellular devices’ camera is prohibited in restrooms and nursing areas. Use of a cellular devices camera to take pictures of other users without their consent is prohibited. Use of cellular devices camera that creates a violation of privacy or confidentiality is prohibited.
Unsafe Use:
GICO prohibits users to utilize cellular devices while at any work site at which the operation of a cellular device would be a distraction to the user or those around the user and\or could create an unsafe work environment.
Users are prohibited from using a cellular device while driving a company-supplied vehicle. This prohibition includes receiving or placing calls, text messaging, surfing the internet, receiving or responding to email, checking the device for messages, or any other purpose.
Company Issued Cell Phones:
The company may issue phones to users whose job require them to make calls while away from work or require them to be accessible for work related matters. Cellular devices issued by GICO are the property of GICO. Cellular devices provided by GICO will be made available to GICO upon request for any reason, including but not limited to upgrades, replacement, audit, inspection, et all.
Security:
Users provided a cellular device by GICO are expected to maintain the security of the device and the information on the device. Always carry the device with you and never leave it unattended. If device is lost or stolen report it to GICO-IT immediately at Help@OKGoodwill.org
Review:
1. A review of activity will be conducted monthly, activity that is not work related and incurs additional charges will be reimbursed to GICO by the user.
2. A user audit for continued use will be performed quarterly
Loss\Damage:
Report loss or damage to GICO-IT at Help@OKGoodwill.org. Loss and or damage deemed excessive by GICO-IT will be reported to the department head and could result in disciplinary actions up to and including termination.
GICO provided cellular devices are to be used for business purposes only. Only applications approved by GICO-IT will be allowed to be installed on GICO provided cellular devices.
Requesting
1. Requests for cell phones are made through the help desk at Help@OKGoodwill.org
2. Requests are approved by the department head.
3. Cellular Device will be enrolled in a Mobile Device Management system
4. Cell phone number will be listed in company directory
5. Cellular Device will be an Android based cellular phone as issued by the discretion of GICO IT in accordance with predetermined cost factors.
Reimbursed Personal Cell Phones:
GICO allows the use of a personal cellular device and will reimburse the user at a rate of $25.00 per month. Request for initial cellular phone reimbursement will be made through the help desk at Help@OKGoodwill.org and approved by the department head. The user will be required to submit a form monthly that includes a copy of the users bill to the accounting department in order to be reimbursed the stated amount. GICO is not liable for the loss or damage to cellular devices brought to the workplace.

Effect of Policy:
Violation of this policy will be considered a serious offence and may result in disciplinary action up to and including termination.
